Message to Our Vendors
Welcome and thank you for your interest in becoming a vendor with the Soul Connection Festival 2024. We would like to encourage a positive and respectful event uniting our energies providing a fun interactive day.
Please read the following conditions before agreeing to participate in the 2024 Soul Connection Festival. By submitting your application you agree by all the conditions presented in this document and/or any other attached forms. The application fee can will be requsted upon completion of the vendor application.
Rules and Guidelines (apply to all vendors)
· The vendor fee is due with the completed application
· Artisan market vendors application fee $111.00
· Alternative Healing vendors application fee $110.00
· The festival will assign vendor space only for the promotion and sale of products and services specified in your application
· Vendors promoting or selling any other products or services not listed on their application will be required to remove them from their vendor space
· It is encouraged for vendors to exhibit or promote their products or services within the boundaries of their assigned space.
· Alcohol and illegal drugs are strictly prohibited throughout Dr. Wilbert park
· No open flames are permitted in any area of the park
· Vendor spaces shall be kept neat, orderly and clean at all times
· All pets must be on a leash and cleaned up after
· Be respectful of the park and ensure all pathways are clear
· Staking is not permitted in City parks. All tents must be appropriately weighted. It is not permitted to tie to any infrastructure.
· Tents are not permitted within 3m of any building or permanent structures
· All tents shall have a flame retardant treatment
· Smoking and open flame devices shall not be permitted in a tent
· May be required to provide an additional “Proof of Liability Insurance” coverage under Special Permit process. Vendors must decide if their insurance policy offers adequate protection for their needs.
Vendor Package Includes
· 10’x10’ space
· Vendor listing on the Festival’s website (www.soulconnectionfestival.com) and all social media platforms
· Vendors must submit accurate information on or before July 15, 2024
· The vendor space does not include electricity, decorations, furnishings including tent or table, storage, or other services.
The Festival’s receipt of Vendor Space Application and fee does not constitute acceptance in the Festival. If an application is rejected, the Festival will return the full deposit to the applicant as soon as possible. Final booth location placement is based on the sole discretion of the Festival Management.
Release of Liability
The Licensee shall ensure that if the Licensee requires attendees at the Premises or participants in any activities on the Premises to sign a waiver of claims and release of liability (the “Waiver”) prior to attending at the Premises or participating in activities on the Premises, that the Waiver: (a) names the City, its elected officials, officers, employees, servants, agents and contractors as parties that are released by the attendee or participant (as appropriate) from liability; and (b) includes an indemnification by the attendee or participant (as appropriate) of the City, its elected officials, officers, employees, servants, agents and contractors for liability for any damage to the property of or personal injury to any third party arising in connection with the attendee’s attendance at the Premises or the participant’s participation in activities on the Premises. In its sole discretion, the City may require the Licensee to obtain a Waiver from attendees or participants. The Licensee shall retain the signed Waivers for a period of five (5) years, and provide a copy of the signed Waivers to the City upon the City’s request.
Health and Safety
Health and Safety: The Licensee shall abide by, and shall cause any person attending at the Licensed Area due to the Licensee’s invitation to abide by, all applicable health and safety recommendations, guidelines, directives, and orders from Alberta Public Health authorities as well as all applicable policies, administrative procedures, and other rules and directions of the City of Edmonton with respect to the use of the Licensed Area. The Licensee acknowledges and agrees that such policies, administrative procedures, rules, and directions of the City of Edmonton may be more stringent than required by Alberta Public Health authorities. The Licensee shall not, and shall ensure that any of its invitees do not, attend at the Licensed Area if doing so would be inconsistent with health and safety recommendations, guidelines, directives, or orders from Alberta Public Health authorities, including but not limited to if such person is experiencing health symptoms such as cough, fever, shortness of breath, runny nose, or sore throat. The Licensee will immediately take steps to have an invitee leave the Licensed Area if they develop the aforementioned health symptoms while attending the Licensed Area, and will notify the City of Edmonton of the occurrence. If at any time the City of Edmonton determines that the use of the Licensed Area permitted pursuant to this License Agreement could be or is not in conformance with these requirements, or is otherwise not advisable in order to ensure health and safety of all persons, the City of Edmonton may immediately terminate this License Agreement upon verbal or written notice to the Licensee.
Cancellation Policy
Cancellation prior to July 15, 2024, will result in a refund of 50% of the total vendor fees. If cancellation occurs post July 15, 2024 the entire amount received shall be retained by Management.
Indemnity
No officer, agents, employees and other representatives of The Soul Connection Festival shall be held accountable for, and the same are hereby released from, accountability or liability for any damage, loss, harm or injury to the person or any property of vendor or any of its agents, employees or other representative, resulting from theft, fire, water, accident or any other cause. Vendor hereby agrees to indemnify, defend, protect and hold harmless the Soul Connection Festival and its representatives.
